Starting a new real estate brokerage in Dubai: the systems you need

A new Dubai brokerage needs five systems from its first week: a CRM, a way to route leads, a listings record, permit tracking and a home for RERA paperwork. Setting them up before the team grows is far easier than fixing habits later. This guide covers what each one should do. It is general guidance on systems, not legal or licensing advice.

What systems does a new Dubai brokerage need?

You need a CRM for leads and deals, lead routing so every enquiry reaches one agent, a listings record, permit tracking, and a place for RERA forms. These can be separate tools or one system.

For the licence, registration and office requirements themselves, check the current rules with the Dubai Land Department, RERA and your licensing authority, as they change. This page is about the operating systems you run day to day once you are trading.

Why set up a CRM before you hire agents?

Because habits form in the first month. If the first agents learn to keep leads in their own phones and a group chat, moving them later is hard and some history is lost for good.

Starting with a CRM from day one means every lead, viewing and deal has a record from the beginning. It also means a new agent joining later inherits a working system, not a pile of chats. If you are weighing a CRM against a shared sheet, read CRM vs spreadsheets.

How should a new brokerage route leads?

Route each lead to one agent the moment it arrives, usually the agent who holds the listing, and keep a visible pool for anything else. Never rely on a shared inbox or group chat.

AIRA does this automatically for Property Finder, Bayut and dubizzle leads, and takes lead ads from Meta, TikTok and Google into the same inbox. Leads without a clear owner go to an unassigned pool, where an agent can claim them in one tap. See Property Finder, Bayut and dubizzle leads in one CRM, and for keeping those leads warm, how to stop losing real estate leads in Dubai.

How do you keep listings and permits in order?

Keep every listing in one record with its owner, documents and permit status, rather than across portal dashboards and folders. That way you can see which listings are ready to advertise.

In AIRA's web CRM, properties, owners and documents sit together, and AIRA tracks Trakheesi permits on listings. More on that is in RERA compliance in your CRM.

Where should RERA paperwork live?

Next to the deal it belongs to. When forms sit in a separate folder, details get typed twice and copies drift apart.

AIRA fills RERA Forms A, B, F and I from what it already knows about the lead, property and deal. Your team still checks and signs them; AIRA saves the retyping.

Which setup suits a new brokerage?

Most new brokerages choose between stitching separate tools together and starting with one system built for Dubai brokerage work. Here is how the approaches compare:

How do agents keep the CRM up to date?

The most reliable way is to let them update it from WhatsApp, which they already have open all day. A CRM agents avoid is worse than none, because it looks complete when it is not.

With AIRA, agents message AIRA by text or voice note to add leads, book viewings, set follow-up reminders and update deals. They get a reminder before each viewing, can ask who to chase today, and can ask for a brochure or floor plan and get it back as a PDF in the chat. When an agent sends AIRA a deal's price and terms, AIRA works out the commission and fees; you can try the same maths in the Dubai property fees calculator. The full list is on the features page.

What should the owner be able to see?

The owner should see the whole pipeline, who owns each lead and how each agent is doing, without asking in the group. That is what keeps a growing team accountable.

AIRA's web CRM gives managers a pipeline board, inbox, tasks and viewings, plus team leaderboards, per-agent performance, reports across leads, viewings and deals, and an alert on every lead change. AIRA talks only to agents and managers; it never messages clients, landlords or owners. See a real estate CRM built for Dubai brokerages and the WhatsApp CRM for Dubai real estate.
