How to manage WhatsApp leads in a real estate brokerage

In Dubai, most real estate leads end up on WhatsApp, whichever portal or ad they started from. Managing them well comes down to three things: every lead has one owner, every lead has a next step with a reminder, and the manager can see both without asking. This page sets out how to do that, and how AIRA, the WhatsApp CRM for Dubai real estate, handles it.

What is WhatsApp lead management?

WhatsApp lead management is the habit and the system for making sure every lead that reaches your agents on WhatsApp is owned, followed up and recorded. The conversation happens in WhatsApp; the record of it has to live somewhere the whole brokerage can see.

Without it, a lead is just a chat on one agent's phone, and it leaves when they do.

Why do WhatsApp leads get lost?

Because WhatsApp is built for conversations, not for tracking. Chats scroll away, nothing reminds an agent to call back, and nobody outside the chat knows the lead exists.

The common failure points in a Dubai brokerage:

  • No owner: a lead lands in a group or a shared number and everyone assumes someone else replied.
  • No next step: the agent means to follow up, then a day of viewings gets in the way.
  • No record: the budget and requirement live only in the chat, so nobody can match the lead to a listing later.
  • No view: the manager only finds out about a lead when the client complains.

What are the rules for managing WhatsApp leads well?

Give every lead one owner, one status and one next step, and record it where the team can see it. Everything else follows from those rules.

  1. One owner per lead. If no owner is clear, the lead should sit somewhere visible until an agent claims it.
  2. Capture the basics at once. Name, number, budget and requirement, while the conversation is fresh.
  3. Set the next step with a reminder. A follow-up date nobody is reminded of is not a follow-up.
  4. Keep portal and ad leads in the same place. One inbox, not five.
  5. Let the manager see it without asking. Status in a CRM, not status in the group chat.

How does AIRA apply those rules?

Agents message AIRA on WhatsApp, by text or voice note, and AIRA turns what they send into a lead with an owner, a status and a reminder in a full web CRM. The rules are kept because keeping them is as easy as sending a message.

An agent can also ask AIRA who to chase today and get a ranked answer, and receive a morning briefing at a time they pick. See the WhatsApp CRM for Dubai real estate for the full chat side.

Where do portal leads fit in?

Portal leads should join the same flow as WhatsApp leads, not sit in a separate email inbox. In AIRA, leads from Property Finder, Bayut and dubizzle arrive automatically and are routed to the agent who holds the listing.

Lead ads from Meta, TikTok and Google arrive in the same inbox. So whether a client found you on a portal, an ad or a referral, the lead ends up with one owner and one record. More in portal leads in one CRM.

Should a CRM reply to leads on WhatsApp for us?

We think not. AIRA talks only to your agents and managers and never messages clients, landlords or owners. The client hears from your agent, and AIRA works on the agent's side of the conversation.

Clients choose an agent as much as a property, so the conversation stays human.

What happens after the lead turns into a viewing?

The viewing goes into the same record. Agents book viewings through AIRA, get a reminder before each one, and receive a message from AIRA afterwards asking how it went.

That check-in matters because the next step after a viewing is where many leads stall. Booking and remembering viewings across a team is covered in viewing scheduling across a team. When a lead is ready for a brochure or floor plan, the agent asks AIRA and gets a PDF back in the chat to pass on.

How does a manager keep track of it all?

The manager uses the web CRM: a pipeline board, team leaderboards, per-agent performance and an alert on every lead change. That replaces asking the team for updates.

Questions brokerages ask

Can my agents keep using their own WhatsApp?
Yes. Agents message AIRA like any other contact and carry on talking to clients as they do now.
What happens to a lead nobody owns?
It sits in an unassigned pool in AIRA, where any agent can claim it in one tap, so it is visible rather than forgotten.
Can agents add a lead by voice note?
Yes. An agent can add a lead by typing, sending a voice note or forwarding a screenshot, and AIRA saves the name, budget and requirement.
Will AIRA remind agents to follow up?
Yes. Agents set follow-up reminders in plain language, and can ask AIRA who to chase today.
Does AIRA reply to clients on WhatsApp?
No. AIRA talks only to your agents and managers, never to clients, landlords or owners.
