How a Dubai brokerage owner sees who is working which lead
Most brokerage owners in Dubai manage their team by asking: in the group chat, on calls, at the morning meeting. It works until the team grows, and then the owner spends more time chasing updates than using them. AIRA, the WhatsApp CRM for Dubai real estate, gives the owner a current view of every lead and every agent, built from the messages agents already send.

Why is it hard to know who is working which lead?
Because the work happens on agents' phones, and nothing records it unless the agent stops to update something. The owner only sees what agents remember to report.
In a typical Dubai brokerage, leads arrive from several portals, ads and referrals, agents talk to clients on WhatsApp, and viewings fill the day. By the time anyone writes it down, the picture is already out of date. The result is a familiar list: two agents on the same buyer, a lead nobody picked up, and a pipeline the owner cannot trust.
What does an owner actually need to see?
An owner needs four things: who owns each lead, what stage it is at, when it was last touched, and which leads have no owner at all. Anything beyond that is useful, but those four stop leads being lost.
With those in view, the owner can step in where it matters, rather than asking everyone about everything.
How does AIRA show this without chasing the team?
Agents update AIRA by messaging it on WhatsApp, by text or voice note, and AIRA writes those updates into a web CRM the owner can open at any time. The owner's view comes from the agents' normal work, not from extra reporting.
In the web CRM, the owner or manager gets:
- A pipeline board showing every lead by stage and owner.
- An unassigned pool for leads without a clear owner, which an agent can claim in one tap.
- Team leaderboards and per-agent performance, so it is clear who is active.
- Reports across leads, viewings and deals.
- An alert on every lead change, so the manager hears about movement without asking.
For the chat side agents use, see the WhatsApp CRM for Dubai real estate.
How does managing by CRM compare with managing by group chat?
Managing by group chat relies on agents answering; managing by CRM relies on the record. The table shows the difference in daily practice.
| Question the owner asks | Group chat and calls | AIRA |
|---|---|---|
| Who has this lead? | Ask and wait for a reply | The lead's owner is on the record |
| Has anyone picked up the new lead? | Find out when a client complains | It sits in the unassigned pool until claimed |
| What happened at the viewing? | Chase the agent | AIRA asks the agent after each viewing |
| Who is busy and who is quiet? | A feeling | Leaderboards and per-agent performance |
| Did anything change today? | Read back through the chat | An alert on every lead change |
How do new leads reach the right agent?
Portal leads are routed automatically. Leads from Property Finder, Bayut and dubizzle arrive in AIRA and go to the agent who holds the listing, and lead ads from Meta, TikTok and Google land in the same inbox.
When a lead has no clear owner, it goes to the unassigned pool rather than disappearing. That makes unclaimed leads something the owner can see and act on. More in portal leads in one CRM.
Do managers hold leads too?
Yes. Managers can own leads like any agent, and they can see the whole team's pipeline in the web CRM. In many small Dubai brokerages the owner is also selling, so the same tool covers both jobs.
That matters for small teams, where there is rarely a separate operations person. For more on choosing a CRM at that size, read the best CRM for a small Dubai brokerage.
How does it help agents, not just the owner?
Agents get reminders and answers, not just more reporting. They can ask AIRA who to chase today, set follow-up reminders in plain language, get a reminder before each viewing, and receive a morning briefing at a time they pick.
Because the tool helps the agent first, the record stays current, and the owner's view stays accurate as a result. See lead follow-up for Dubai real estate, how to manage WhatsApp leads and viewing scheduling across a team.
Does AIRA contact clients on the team's behalf?
No. AIRA talks only to your agents and managers. It never messages clients, landlords or owners, so client relationships stay with your agents.
On the paperwork side, AIRA fills RERA Forms A, B, F and I from what it already knows and tracks Trakheesi permits on listings, which gives the owner a cleaner compliance picture too. See RERA compliance in your CRM.
Where should a growing brokerage start?
Start by putting every live lead under one owner in one place, then let reminders and reports do the chasing. If you are still on a spreadsheet, read AIRA vs spreadsheets; if you are comparing CRMs, read AIRA vs a generic CRM.

Questions brokerages ask
- Can I see every agent's leads in one place?
- Yes. The web CRM shows the whole team's pipeline by stage and owner, with leaderboards and per-agent performance.
- How do I know when a lead changes?
- Managers get an alert on every lead change, so movement in the pipeline reaches them without asking the team.
- What stops a lead going unanswered?
- Leads without a clear owner sit in an unassigned pool, visible to the team, where an agent can claim them in one tap.
- Do agents have to fill in reports for me?
- No. Agents message AIRA on WhatsApp as they work, and the reports are built from those updates.
- Can I own leads myself as the owner?
- Yes. Managers and owners can hold leads like any agent while also seeing the whole team.
- How much does AIRA cost?
- Pricing is on request, so email hello@airauae.com and we will talk it through. New brokerages get their first 3 months free.
