Property Finder, Bayut and dubizzle leads in one CRM

Most Dubai brokerages advertise on more than one portal, and each portal sends its leads its own way. AIRA, the WhatsApp CRM for Dubai real estate, pulls Property Finder, Bayut and dubizzle enquiries into one inbox, sends each lead to the agent who holds the listing, and tells that agent on WhatsApp.

How do you get Property Finder, Bayut and dubizzle leads into one CRM?

With AIRA, you forward each portal's lead notifications to your brokerage's AIRA address, or send them in by an automation. AIRA reads every notification and turns it into a lead. For Property Finder, you can also connect your account directly.

When a notification arrives, AIRA recognises whether it came from Property Finder, Bayut or dubizzle and picks out the enquirer's name, phone number, message and the listing it was about. With the direct Property Finder connection, leads and listing events arrive through Property Finder's own webhooks instead of by email. Lead ads from Meta, TikTok and Google land in the same inbox, so every source sits in one place.

Why do portal leads get lost?

Because they arrive as emails and notifications spread across inboxes, and the first reply depends on who happened to look. The usual failures look like this:

  • Leads wait in email. A notification sits unread while the enquirer calls the next brokerage.
  • They land on the wrong person. Whoever checks the shared inbox takes the lead, not the agent who listed the property.
  • The same person shows up twice. Someone who enquires on two portals becomes two records.
  • Nobody can say where leads come from. Without a source on every lead, you can't tell which portal is working.

How does AIRA decide which agent gets a portal lead?

It matches the listing reference in the enquiry to the listing in your CRM and assigns the lead to that listing's agent. If there is no reference, it tries the agent's name. If neither matches, the lead is marked unassigned so a manager can hand it out.

AIRA copes with the small inconsistencies portals have, such as a reference written with or without leading zeros. Unassigned leads sit in a pool that managers can see and agents can claim in one tap, rather than being dropped on whoever is next or forgotten in an inbox. To make the matching work from day one, sync your Property Finder listings into AIRA first.

What happens when the same buyer enquires on two portals?

AIRA recognises them as one contact. Leads are matched on phone number, so a buyer who enquires through Property Finder and then Bayut becomes a single contact with both enquiries attached.

Every lead also keeps its source. That means you can see which portal each enquiry arrived from without anyone tagging it by hand, and your reports reflect where your leads actually come from.

Which way of bringing portal leads in should we use?

Email forwarding works with all three portals and a normal portal account. The direct Property Finder connection needs your account's API access but also brings in listing events. Copying leads by hand is what both replace.

You can use both: the direct connection for Property Finder and forwarding for Bayut and dubizzle.

What does the agent see when a portal lead arrives?

The assigned agent gets the new lead on WhatsApp, where they already are. From the same chat they can book a viewing, add notes or ask AIRA for a brochure or floor plan as a PDF, then contact the client themselves.

AIRA never replies to the enquirer on your behalf. It talks only to your agents and managers, so the first conversation with the client is always with a person from your team. Every new lead also gets an AI lead score, which helps an agent decide who to call first. See how the WhatsApp CRM works, or the full features page.

Can we bring in our existing leads and listings?

Yes. Past leads can be imported from Excel or CSV, and Property Finder listings can be synced in, so your history comes with you and new leads route correctly from the start.

Questions brokerages ask

Do I need a special portal plan for this?
No. Email lead notifications work with a normal portal account. The direct Property Finder connection uses your Property Finder account's API access.
What happens when a lead can't be matched to an agent?
It is marked unassigned and stays visible to managers, so it can be handed out or claimed instead of being lost.
Will a buyer who enquires on two portals become two leads?
No. Leads are matched on phone number, so the same buyer is one contact, and each enquiry keeps its own source.
Does AIRA reply to portal enquiries for us?
No. AIRA tells the assigned agent on WhatsApp and the agent contacts the client. AIRA never messages clients or landlords.
Can I bring in old portal leads?
Yes. Past leads can be imported into AIRA, so your history comes with you.
What does it cost?
Pricing is on request. Email hello@airauae.com and we will talk it through. New brokerages get their first 3 months free.
