Booking and remembering viewings across a Dubai brokerage

Viewings are where Dubai real estate deals move forward, and where many of them quietly stall. A viewing that nobody was reminded of, or that nobody followed up after, is a lead lost. AIRA, the WhatsApp CRM for Dubai real estate, lets agents book viewings by message, reminds them before each one and checks in afterwards, while the manager sees every viewing across the team.

Why do viewings go wrong in busy brokerages?

Because they are arranged in chats and remembered in heads. When an agent has several viewings in a day across the city, something slips: a time, an address, or the follow-up afterwards.

The common problems are simple. A viewing is agreed on WhatsApp but never written down. Two agents book the same slot with the same client. A viewing happens and nobody records how it went, so the next step never comes. None of these need a clever fix; they need the viewing recorded, reminded and followed up.

What should a good viewing process include?

A good process records every viewing against the lead, reminds the agent beforehand and asks for an outcome afterwards. The manager should be able to see all of it without calling round.

  1. Book it against the lead, so the viewing is part of the lead's history.
  2. Remind the agent before it, so it is not missed on a full day.
  3. Ask how it went afterwards, so the next step is captured while it is fresh.
  4. Show the manager every viewing, across the team, in one place.

How do agents book viewings in AIRA?

Agents book viewings by messaging AIRA on WhatsApp, by text or voice note, in plain language. AIRA adds the viewing to the lead in the web CRM and confirms in the chat.

A typical exchange (illustrative): an agent sends a voice note saying a buyer would like to see a two-bedroom on Saturday afternoon. AIRA records the viewing against that buyer and confirms it. If the lead is new, AIRA can add the lead and the viewing in the same step. See the WhatsApp CRM for Dubai real estate.

How does AIRA remind agents about viewings?

AIRA sends the agent a reminder before each viewing, and a message two hours after it asking how it went. The agent's reply goes back onto the lead as the outcome.

That check-in is the step most teams skip. It turns "the viewing happened" into a recorded result and a next step, such as a second viewing, an offer or a follow-up. Agents also get a morning briefing at a time they choose, so the day's viewings are in front of them first thing.

How does this compare with a calendar and a group chat?

A shared calendar can hold times, but it does not know the lead, does not ask for an outcome and does not tell the manager what happened. The table sets out the difference.

How does a manager see viewings across the team?

The manager sees viewings in the web CRM, alongside the pipeline, with reports across leads, viewings and deals. There is no need to collect the schedule from each agent.

Managers also get team leaderboards, per-agent performance and an alert on every lead change, so a viewing that moves a lead forward is visible straight away. More in real estate team management in Dubai.

Does AIRA confirm viewings with the client?

No. AIRA talks only to your agents and managers and never messages clients, landlords or owners. Your agent confirms the viewing with the client, as they do now.

AIRA's job is on the agent's side: keeping the viewing recorded, reminding the agent and capturing what happened. The client relationship stays with your agent.

What helps an agent before and after a viewing?

Agents can ask AIRA for a brochure or floor plan and get it back as a PDF in the chat, ready to share. After the viewing, they can set a follow-up reminder in plain language and ask AIRA who to chase today.

If the viewing leads to an offer, the agent can send AIRA the price and terms and get the commission and fees worked out; the Dubai property fees calculator shows how. For the paperwork, AIRA fills RERA Forms A, B, F and I from what it already knows, covered in RERA compliance in your CRM.

Where do viewings fit in the wider lead process?

Viewings sit in the middle: after a lead is captured and before a deal is agreed. Good viewing scheduling only works if the lead is already recorded and owned.
